Legal Secretary (Litigation/Labor & Employment) Duties: Inputs, revises and finalizes correspondence, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents. Files legal documents in federal courts and state courts; prepares legal documents for service of process; prepares case shell documents for use by attorneys. Proofreads documents and checks for appropriate formatting, spelling and grammar. Verifies all attachments, exhibits and enclosures are included with transmittal letters/memos. Maintains good public relations with clients. Receives, reviews and prints electronic faxes. Delivers paper faxes as necessary. Sorts, dates and reads incoming mail. Prepares documents and packages for mail, messenger and overnight delivery. Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Prepares expense reports. Coordinates and follows through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provides overflow and absence assistance and secretarial support for Secretaries attorneys. Other duties and projects as assigned. Essential Job Functions Under Certain Circumstances: Screens telephone calls, listens to voicemail and records messages. Schedules appointments and makes arrangements for meetings, conferences and travel. Sends time entry reminders and tracks entries. May enter attorney time. Receives clients and visitors. Reviews and prints e-mail messages. Assist billing coordinator and billing attorneys with client bill processing. Reviews and edits bills as necessary. Involves extended computer and telephone work. Filing in five drawer lateral files. Qualifications: Strong experience with state and federal court filing procedures. Typing speed/accuracy: 65 wpm with 95% accuracy. Proficiency in Microsoft Programs (Word, Outlook, Excel). Legal citation and legal terminology expertise. Excellent grammatical and spelling skills. Familiarity with Carpe Diem, Elite, document management systems, Chrome River. Work effectively within a team. Prioritize and meet the demands of multiple attorney assignments. Organize, prioritize and manage numerous tasks and complete them under time constraints. Produce high-quality word processing documents following Firm standards. Accurately revise, proofread and perform minor editing (punctuation, grammar, spelling) of correspondence and other documents. Accurately transcribe legal documents and correspondence from rough draft or dictation. Follow instructions effectively from a diverse group of clients, attorneys and staff and provide information in a courteous and tactful manner. Organize and maintain filing. Work overtime occasionally to perform essential duties of the position. Take initiative in support of attorneys. Cooperate and provide assistance when assigned to team member s attorneys. Assist with overflow work and back-up support. Conduct oneself in a professional manner. Exhibit office appropriate behavior and dress. Good attendance and punctuality.
