Receptionist/Legal Secretary DUTIES: Professionally greet clients, vendors and visitors of the firm. Operates the console by professionally answering incoming calls. Directing callers to appropriate persons and/or taking messages. Distribute incoming faxes using electronic faxing software. Coordinate and schedule conference room availability. Coordinate hand-courier deliveries. Daily coordination and set up of meetings. Maintains reception area and conference rooms. Assists clients, visitors and employees with conference room audio/visual and video equipment, if necessary. Ensures functioning telephones and video equipment, if required, are in all conference rooms. Ensure conference rooms are setup for meetings, maintained for use, stocked with necessary supplies, and the necessary actions are taken following meetings for additional use. Place catering orders for meetings. Submit work orders to building manager for building maintenance issues, HVAC issues, lighting, etc. Coordinate various aspects of suite security. Active coordination and collaboration with Office Services and Information Technology. Handles confidential documents and information with discretion. Completes copying, printing and assembly of documents as requested by attorneys and legal support staff. Handles client matters (when appropriate) through telephone and e-mail. Assists with time and expense entries as back-up to secretarial team. Maintains work calendars by scheduling appointments, conference calls and other meetings. will also provide overflow assistance to the offices legal secretarial team with tasks including preparing, editing, proofing, uploading and printing of legal documents, assisting with time and expense entries as needed, and other needs throughout the office. QUALIFICATIONS: High School Diploma or Equivalent is required. Law firm experience preferred. Proficient in Microsoft Applications. Ability to prioritize and manage multiple tasks. Excellent interpersonal communication skills in presenting oneself in a professional setting. Punctuality and dependability is a must. Must have excellent communication skills and be able to work in a multi-tasked environment and be proficient in Microsoft Office.
