Litigation Secretary/Paralegal The candidate will prepare and process correspondence and legal documents. Proofread documents and check for appropriate formatting, spelling and grammar. Update client files, notebooks and pleading indices regularly. Maintain and update calendar and docketing deadlines for attorneys. Prepare and file documents following local rules. Receive and screen phone calls. Review and route incoming/outgoing mail, fax communications and messenger services. Maintain and update contact names and address in the contact databases. Prepare time entries for attorneys. Coordinate travel arrangements and prepare itineraries. Prepare travel expense reports and prepare expense reimbursements. Other office duties and responsibilities as needed. Prepare budgets for clients and workers' compensation case summaries for hearings. Schedule medical examinations and obtain medical records. Prepare documents for production including bates labeling and redacting for privileged and confidential information. Prepare key document notebooks, motion notebooks, master chronologies, master cast of characters, deposition notebooks and identification of deposition exhibit. Prepare attorneys for all aspects of trials. Possesses a strong understanding and abides by the policies and procedures of the firm and local office. Maintains an exceptional customer service attitude and demeanor at all times. Flexible and willing to pitch in wherever needed. Demonstrates a positive attitude and is approachable. Adapts well to fluctuations in workload and changes in responsibilities. Maintains a professional demeanor in high-stress situations. Presents written communications that are concise and accurate. Exhibits confident and professional verbal communication skills. Effectively communicates with clients and vendors. Answers questions clearly and thoroughly. Contributes to an atmosphere of teamwork and congeniality. Ability to type accurately and efficiently including from dictation. Customer Service: Respond promptly to attorney and client requests for service and assistance; meet commitments. Minimum of a high school diploma required (College degree is preferred, but not required). Minimum of three to five years of experience as a legal secretary required.
