Legal Secretary Responsibilities: Work primarily for corporate and transactional timekeepers; knowledge of and ability to assist in filing electronic court filings and pleadings preferred. Major responsibilities include document preparation and editing for business transactions, file maintenance, attorney time entry, scheduling, and assistance with client billing. Client contact in person and over the phone. Coordination of internal and external meetings, including room reservations, catering, etc. Travel arrangements and reimbursements by coordinating, preparing and reconciling expenses using Chrome River expense system. Organize documents for filing using FileTrail records system. Handle administrative confidential/sensitive firm and/or client information. Other duties as may be assigned to fully meet the requirements of the position. Qualifications: 5+ years executive-level legal secretarial experience and proficiency in secretarial and administrative tasks including, telephone and email interaction with business executives, international and domestic travel arrangements, extensive calendar maintenance, time entry, expenses and document preparation. Strong interpersonal and communication skills with ability to work in a high volume, high energy environment. Proven problem-resolution abilities appropriately combining logic, flexibility, creativity, follow-through, and client services skills with an emphasis on discretion and diplomacy. Proficiency in MS Word , Excel, Outlook and PowerPoint. Must exhibit strong typing skills and have the ability to learn and quickly become proficient in new computer software programs. Excellent written and oral communication with strong organizational and proofreading skills. Detail oriented, able to multi-task and prioritize incoming/outgoing projects. Ability to work effectively independently and within a team environment.
