Legal Secretary - Word Processing / Floater The candidate will work under the supervision of the Word Processing Supervisor and provide support to the attorneys in the firm. Will enhance attorney effectiveness by providing secretarial support to the attorneys representing the firm's clients and others. The assigned work is in all practice areas of the firm with an emphasis on the commercial litigation, personal injury practice area, construction and other general commercial litigation matters. Will at times be assigned to cover a legal secretary's desk in their absence and coordinate schedules, draft legal documents, take messages, answer telephone calls, file and coordinate case filing projects with the assigned file clerks. Work under the supervision of the Word Processing Supervisor to receive assignments, and provide support, for all practice group attorney(s). Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserve attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; draft letters and documents; collect and analyze information; initiate telecommunications; organize client conferences, and attorney meetings; schedule couriers, court reporters, expert witnesses, and other special functions; and coordinate preparation of charts, graphs, and expense reports. Maintain attorney calendar by planning and scheduling conferences, teleconferences, dispositions, and travel; record and monitor court appearance dates, pleadings, and filing requirements; dockets court imposed deadlines. Represent attorney by communicating and obtaining information; following-up on delegated assignments; knowing when to act and when to refer matters to attorney. Assist in submission of billable time and reimbursable expenses; preparing invoices and communicating with clients concerning invoices. Maintain client confidence by keeping client/attorney information confidential. Utilize electronic filing and retrieval systems and supervises file clerks. Enhance department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments and make recommendations. Effectively communicate with clients, court personnel, counsel, third parties, private investigators, medical providers, experts, etc., and maintains regular contact with all parties. The candidate should have high school diploma. Should preferably have two-year or four-year undergraduate degree or technical/trade school degree. Must have 3-5 years of experience and exposure working as a legal secretary in a law firm with an emphasis of experience in litigation. Experience working with various practice and case management databases (iManage), timekeeping, and billing systems is required. Should be able to type 65+ wpm and have exceptional computer skills and proficiency using MS Office products, including Word, Excel, Outlook, PowerPoint, and Adobe Software. Working knowledge and experience of the law firm industry including office and department procedures, work flows and organization is required. Knowledge of e-filing procedures is needed.
