Legal Secretary - Public Finance The candidate will support multiple attorneys in the Public Finance practice group. Position will include traditional secretarial responsibilities including preparation of detailed agreements, electronic filings, client management, billing, time entry, formatting, proofreading and editing of documents, travel arrangements, and other legal assistant functions. Maintain positive contact and communications with clients, attorneys, and staff in dynamic large law firm environment. Prepare and process documents including electronic filings. Maintain schedules and calendars for multiple attorneys and transactions, tracking of critical dates. Open new matters. Draft transaction documents and incorporate revisions provided by attorneys and other transaction participants. Submit, track, and collect legal advertisements. Organize and manage transaction documents, including signature packages and closing transcripts. Record real estate documents. Maintain accurate and current information in case management system/iManage. Meet client deadlines and adapt to industry changes. Ensure timely delivery of outgoing mail, messenger deliveries, overnight deliveries, etc. Ensure timely, courteous, and thorough responses to a heavy volume of email correspondence. Proofread the legal documents as required. Provide support to attorneys in a high volume, time sensitive atmosphere. Perform other duties and responsibilities as needed. The candidate should preferably have 5 years of experience working as a secretary or paralegal with a sophisticated commercial real estate, corporate, or public finance practice group. Experience with Bond deals, large transactions and preparation and coordination of closing documents/packages is a plus. Solid understanding of the legal process surrounding commercial transactions (real estate or corporate law preferred) is essential. Excellent computer/technical skills and effective communication skills a must. Ability to type 65 wpm is a prerequisite. Should be enthusiastic about learning the Public Finance practice area. Concrete understanding of Partner level communication styles, expectations, turnaround demands and sense of urgency is needed.
