Legal Secretary The candidate will be responsible for preparing and editing Firm/Client letters, memoranda, briefs, pleadings, agreements, contracts and other documents from original handwritten materials or dictation. Assisting in the preparation of documents in response to production requests/interrogatories. Editing information input into the matter database. Assisting in trial preparation as needed. Acting as backup to other module team members to support additional attorneys or paralegals when necessary. Supporting Client needs and recommends approaches that will meet our commitment to the most cost effective client service. Assisting in the maintenance of all client and general files (electronic and paper). Maintaining attorney CLE compliance records in conjunction with CLE coordinator. Coordinating travel arrangements, scheduling of conference rooms and catering for meetings. Receiving visitors and maintaining good public relations with clients and retaining confidentiality of attorney-client relationship. Utilizing direct time & billing systems to submit attorney/paralegal time to Accounting and prepare client invoices. Reading, sorting and dating all incoming mail (electronic or paper), forwarding outgoing documents on a timely basis. Processing all expenses for attorneys/paralegals, utilizing Firm standard software. Maintaining open communication with attorney and/or paralegal assigned to and other team members on the status and quality of all work in progress. Arranging for assistance from administrative staff departments (document processing, photocopy, facsimile, mail room personnel and accounting) as necessary to complete work assigned. Acting as liaison for new attorneys in the on boarding process by conducting orientation on Firm/departmental procedures. Performing other duties as assigned. The candidate should have a college degree and 1-2 years of related work experience.Technical abilities including MS Word and Excel, word processing skills at minimum of 65 wpm, familiarity with standard office equipment (photocopy & facsimile), time and billing and document management systems within network environment also required.Additional technical skills may be required based upon attorney/paralegal and/or practice group needs.Excellent communication and interpersonal skills required.Individual must be dependable, responsible and possess the ability to work independently, and remain diplomatic when dealing with all Firm personnel.The ability to perform repetitive motions (typing and filing), as well as keying in large amounts of data into the computer for extended periods of time is essential.
