Intellectual Property Legal Secretary/Assistant The candidate will prepare patent documents for client's signature and filing at the USPTO. Provide administrative and secretarial support for attorneys/timekeepers. Maintain up-to-date knowledge of USPTO rules and filing procedures. Take the initiative to improve procedures. Demonstrate a positive attitude towards work. Work efficiently under minimal supervision. Adhere to and supports the firm's standards, policies and procedures. Manage a heavy IP desk, including managing calendar and planning workload. Maintain cooperative, diplomatic working relationships with co-workers, attorneys, and supervisors; work as part of a team and collaborate with colleagues. Complete projects under tight deadlines even when there are competing requirements and changes in assignments. Transcribe legal documents, correspondence, contracts, and memoranda. Review and edit prepared documents for accuracy, including accurate proofreading. Receive mail and other deliveries; match correspondence to files. Open new matters. Accurately maintain client files. Manage files including opening new electronic/physical files, retrieving files, and maintaining files according to firm protocol. Provide professional interaction with clients and USPTO Examiners. Review docket with an attorney and coordinate appropriate action as necessary. Make travel arrangements. Lend support to other secretaries/assistants when needed. Other duties as assigned. A high school diploma or GED equivalent is required. College-level courses/degree preferred. Legal Secretary/Assistant experience in a law firm environment, including 2 years of Intellectual Property patent prosecution experience, required. Above-average proficiency in Microsoft Word with strong and accurate typing skills. Should have excellent proofreading, editing, grammar, communication, and organizational skills, as well as an ability to prioritize. Devotion to excellence for all responsibilities, including those that are more repetitive and administrative in nature. Should have the ability to absorb training quickly and efficiently.
