Legal Secretary/Administrative Assistant The candidate will support for attorneys primarily in the areas of civil and complex litigation. Accurately maintain case files working with Federal, State and County jurisdictions. Responsible to effectively proofread, maintain docket, transcribe dictation, prepare and file legal documents, draft correspondence, maintain attorney calendars and prepare for meetings. Responsible for preparing and formatting various filings such as complaints, answers, discovery, motions and briefs, preparing and coordinating subpoenas, and other documents as assigned. Data entry, managing and preparing mail for attorneys, scheduling and assisting with phones, preparing for depositions, scheduling court calls or hearings. Organize and maintain electronic and hard copy client files. Maintain and prepare Excel spreadsheets to track client costs and vendor bills. Ordering supplies for the office. Overseeing onsite and offsite file retention and destruction. Reviewing client trust ledgers and activity. Preparing and posting trust deposits and checks. Communicate effectively and professionally with clients, co-workers and outside counsel. Maintain professional appearance and attitude. Strong task initiation and support to attorneys at all times. Other related duties and responsibilities as assigned. 3+ years of civil litigation experience required. Experience in general liability, construction, and/or personal injury a plus. Knowledge of courts, E-Filing, calendaring system and billing software required. Strong computer skills: Excel, Word, iManage, Outlook, and PowerPoint, Adobe required. Excellent typing, proofreading and dictation skills required. Ability to work independently and to multitask while demonstrating strong attention to detail required. Retain confidentiality of the attorney-client relationship required. Strong communication, organization and time management skills required. Detail-oriented in written and verbal communication required. Must be dependable and full-time in office. Notary Public or desire to obtain qualification is a plus.
