Office Assistant/Paralegal Assistant Duties: On a day-to-day basis, generally works under the direction of the office administrator, paralegals and practice assistants to whom the Office Assistant/Paralegal Assistant is receiving assignments from but may receive assignments directly from attorneys, in addition to performing regularly assigned tasks. Supports the delivery of quality legal services to clients by providing clerical assistance to attorneys, paralegals and practice assistants and working collaboratively and cooperatively with others in a team-oriented environment. Provide back-up support to the receptionist during breaks, lunches, after hours and absences. Responsible for processing invoices for payment in A/P system and processing check requests as needed. Maintenance of central file room including, but not limited to, keeping client files in alphabetical order with adequate space for incoming files and filing, and data entry of off-site files. Track, record and enter time entries on a daily and/or weekly basis. Provide assistance to paralegals by performing entry-level paralegal tasks such as, but not limited to, creating spreadsheets, light research, organize and index case files, filing, and prepare documents to assist attorneys and paralegals with matters. Light typing, assistance with mailings and other miscellaneous projects as needed. Requirements: 1+ years of previous experience in an Administrative, Office Assistant or Paralegal Assistant role. Excellent communication skills, written and verbal. Knowledge of basic legal terminology. Ability to read, respond timely/accurately to and organize a high volume of emails. Ability to work on multiple tasks. Good organizational skills including filing and calendaring. Ability to operate personal computer and other equipment in the office, including (but not limited to) multi-line phone system, fax machine, presentation equipment, copier and scanner. Proficient with Outlook, Excel, Word, PowerPoint. Good typing speed with few errors. Excellent proofreading skills. Time management skills and ability to work independently as well as with a team.
