Office Manager/Legal Secretary The candidate will uphold AALRR's culture and standards of conduct. Work with the San Diego Managing Partner and the Director of Human Resources to oversee and manage the San Diego office operations and staff functions. Review and approve staff timecards for processing semi-monthly payroll. Supervise legal secretaries and other office staff members; collaborate with Human Resources on staff recruiting and employee relations; prepare written performance evaluations for staff and counseling documentation as needed. Review incoming mail and handle confidential partner communications. Handle office financial and billing matters including opening new files and matters, review of work in process (WIP) reports, preparation of filing fee checks, and communication with Finance Department including, but not limited to, employee expense reports, Firm bills to be paid, and petty cash. Obtain approvals required, adhering to payment standards, check requests, and petty cash. Assist Marketing Department with local marketing seminars and events and marketing materials such as pitch folders, attorney biographies, PowerPoint presentations, and seminar handouts. Ensure that filing and records maintenance is in compliance with Firm standards utilizing records software, closed/offsite file procedures, and coordination of file transfers to clients or other law firms with Firm's General Counsel and Records Manager. Communicate with Information Technology Department regarding hardware, software, and communication issues and telephones, providing on-site assistance to IT staff as needed. Administrative support for new client intake, client contract coordination and preparation, and client audit letters. Coordinate utilization of office space and communication with building property management. In collaboration with the Director of Facilities/Services, handle office maintenance issues such as office improvements and after-hours repairs, office equipment, usage and maintenance of visitor offices, and supply inventory. Promote positive office morale; participate in Firm activities and wellness initiatives. Maintain secretarial/attorney share group assignments; provide legal secretarial support to assigned attorneys, and provide backup support to other attorneys in the office. Coordinate overflow coverage on an as-needed basis with Human Resources. Prepare accurate, error-free, and properly formatted legal papers and correspondence. Works with all types of documents such as correspondence, reports, records, forms, recorded voice dictation, or previous version. Proofread prepared materials to ensure documents are free from typographical and grammatical errors and are formatted according to Firm standards. File documents and emails in the Firm's electronic document management system. Handle court and administrative agency filings; assembles documents and exhibits for court filings and recordings, hearings, arbitrations, mediations, depositions, investigations or other engagements. Prepare agreements, closing binders, stock certificates, and other corporate/transactional support tasks. Manage and maintain calendar and Firm docket in conjunction with Calendar Department to assist in assuring all deadlines and important dates are recorded on Firm's master calendar. Operate personal computer and transcription equipment to produce legal documents, correspondence, memoranda and e-mails, and other office machines such as photocopier, fax machine and postage meter. Assist attorneys with Firm travel arrangements. Should have 5+ years corporate/litigation legal secretary and 3+ years of experience supervising staff and/or office operations.
