Corporate Legal Secretary Duties: Provides secretarial and administrative and organizational support to corporate practice area, positively contributing to the firms ability to provide professional, efficient, high quality legal services exceeding our clients expectations. Participates fully on a client-focused team, exercising personal judgment under the ultimate direction of assigned attorneys. Redlining, document compare software Workshare/Delta view. Amend documents using track changes. Prepares correspondence, memos, pleadings, briefs, forms and other documents in proper legal form; files legal documents with appropriate attachments, both electronically and via traditional filing methods [i.e. E-file, Wiznet]. Answers telephone calls in a courteous and professional manner; forwards messages to the intended parties timely. Enters and/or proofreads time in the accounting system before release into the billing system; to the extent possible, ensures accurate entry of complete information before each monthly deadline on an as needed basis. Timely completes new client set-up and/or matter set-up by completing the Conflict Checks, New Business Approval, and Information Forms. Closes files in a timely manner includes proper paperwork and in accordance with closed file procedure. Reviews and relays all incoming communication to proper person in attorneys absence to ensure appropriate attention and timely follow up. Calendars and maintains all case related dates, including but not limited to appointments and follow-up dates. Maintains open files; keeps filing up-to-date on a weekly basis. Schedules depositions, hearings, appointments and conference calls; prepares necessary documents and copies for meetings. Receives, reads and routes incoming mail. Maintains appointment and deadline calendar for attorneys. Faxing, copying, typing, scanning and any other general office duty as needed. Arranges for the proper delivery of documents/projects via, including but not limited to courier runs, hand-deliveries, Federal Express, UPS, Express Mail; provides complete information to courier for delivery and for any other delivery method. Enters accurate client/matter number information for the correct charging of photocopies, telephone calls, faxes, mail, etc. Transcribes documents from dictation; proofreads all documents to ensure accuracy and professional appearance; files all pleadings on pleading paper. Maintains and updates contacts in Client Profiles and links contacts with appropriate files. Arranges travel. Completes business expense forms. Requests checks. Assists with practice group meetings and assignments such as maintaining forms files, typing agendas, coordinating meetings, ordering lunches, preparing for seminars, etc. Stays abreast of technology changes and other advances in the legal secretarial field. Refers out large copying projects as necessary. Manages conflicting deadlines and priorities effectively to complete work. Works independently and complete tasks with minimal supervision. Maintains highly organized and efficient work methods and work station. Works effectively in a team environment; seeks assistance and offers to help fellow team members. Such additional duties that maybe assigned from time to time. Qualifications: 3 years' legal secretary experience. Organization, Excellent software skills in Microsoft Office 2010, Excel, PowerPoint & Outlook; Knowledge of general office equipment including scanners, fax machine, printer; Typing skills of 65 wpm; Efficient in transcription of dictation; Working knowledge of legal terminology and court online filing procedures.
