Legal Secretary The candidate will be answering phones, arranging travel schedules and reservations, meetings, conferences and appointments for attorneys in the office, preparing legal documents, including draft pleadings, memorandums, discovery requests/responses, and correspondence, electronic filing with courts, scanning and/or copying documents, transcription, conducting client conflict checks, keeping files organized, closing files, entering attorney time, maintaining multiple electronic calendars, and other administrative tasks. Schedule appointments, multi-party conference calls, conference rooms, and travel arrangements for attorneys. Scheduling and coordinating hearings, depositions, mediations, and meetings. Preparation of information needed at hearings. Handle incoming mail, prepare outgoing mail or packages for shipment, and follow up on timely delivery. Monitor attorney incoming e-mails. Maintain client contacts and mailing lists. Open new files, perform conflict checks, and maintain all client and general files. Conduct periodic review for possible storage of older files; prepare files to be closed. Receive clients and visitors; maintain good public relations with clients; observe confidentiality of attorney-client relationship. Proof, process and prepare client bills for mailing/e-mailing. Complete expense reimbursement forms for attorneys. Research of public documents and fact gathering. Perform other duties as requested by the Office Administrator. Have 3+ years of administrative experience, exceptional communication and organizational skills, and the ability to work effectively within a group or independently with minimal supervision. Experience in Commercial Litigation, Environmental, and Criminal areas of law a plus. Should be proficient in Microsoft Office 365: Word (high priority), Outlook, PowerPoint, and Excel, and type a minimum of 65 words per minute with high accuracy. A college degree is preferred, and experience in a law firm is helpful. Understanding of court systems and knowledge of e-filing and PACER. Ability to proofread typed material for grammatical, typographical or spelling errors and possess a high level of accuracy with attention to detail in all communications and work. An understanding of law office policies and procedures.
