Legal Secretary The candidate will ensure efficient daily administrative operation's of the assigned legal team. Communicate with attorney's and assist with balancing the team 's workload to ensure completion of project's within established time frame's and quality standards; seek assistance from the lead secretary and/or the HR/Attorney Recruiting Manager when workload demand's and deadline's are required. Assist with preparation and organization of litigation pleadings, and exhibits, including preparing a table of content's and table of authorities, and manage deposition process, including working with court reporting company, managing deposition schedule's of team, assisting with the preparation of attorney deposition outlines, exhibit's for depositions, managing errata sheets, etc. Provide administrative support to the assigned legal team, including assistance in preparing client bills, processing expense reimbursement's and vendor invoices, and processing incoming and outgoing mail and overnight deliveries. Maintaining calendars, team lists, list's of opposing counsel, scheduling appointment's (including deposition's and hearings), reserving conference room's and arranging conference room setup's for deposition's and mediations, and coordinating domestic and international travel. Keep up to date with the policie's and procedure's of the varying administration agencie's and court's that the attorney's practice in. Track and meet litigation filing deadlines. Support Firm-wide client service initiatives. Providing quality service to internal department's and external partie's by interacting professionally and displaying a can do attitude via electronic and print correspondence, when answering telephone calls, taking and relaying messages, greeting visitor's and coordinating attorney, client or other inquirie's in the absence of the attorney. A High School Diploma i's required. A College Degree i's required. Should have 5+ year's of litigation secretarial experience. Accurate typing speed of 65+ wpm i's needed. Mastery of Outlook, Word, PowerPoint, Excel and willingnes's to master other programs, a's required (e.g., Relativity program for document's produced in litigation). Ability to send document's by file-share (e.g., Litera) and familiarity with Microsoft Teams, Zoom and WebEx. Should have the ability to manage matter workspaces, find current and archived materials, and adhere to established naming convention's using the firm 's document management system, NetDocuments.
