Legal Secretary - Bankruptcy and Commercial Litigation The candidate will be responsible to prepare correspondence, legal documents and organize files; assist assigned attorneys with meetings, hearings and trials; schedule and calendar; prepare advanced client cost entries, expense reports, and attorney timesheets; and all other secretarial and basic paralegal activities necessary to help defend business and professional services entities in litigation matters. Will review legal documents to ensure they are properly formatted and assembled for court acceptance; file or e-file legal documents with state and federal courts in Texas, including federal bankruptcy courts. Prepare and assemble materials, documents, and exhibits for meetings, court appearances, hearings, and trials. Compose routine correspondence and documents and prepare reports using knowledge of work and instructions and guidelines. Prepare documents from handwritten copy and revise, proof and finalize. Respond to inquiries on a variety of matters such as the status of pending cases, billing matters and client account balances, administrative and court rules, and appeal procedures. Communicate with court personnel on setting hearings. Schedule and arrange meetings and conferences and notify interested parties; maintain calendars for assigned attorneys. Enter data, record notices and correspondence reports; prepare legal documents such as pleadings, briefs, opinions, complaints, orders, and subpoenas from verbal and written instructions, drafts, or other materials which may be difficult to interpret and/or format; may insert and/or complete legal citations. Proofread and correct prepared materials for appropriate grammar, spelling punctuation, format and content. Open, sort, and distribute incoming mail to attorneys; scan correspondence and documents to electronic format and file electronically to case file and related materials needed for action. Establish and maintain office files, indices, legal references, records, and other information in connection with assigned work. Prepare attorney expense reports, credit card reconciliations, timekeeping records, and other personnel records. Make recommendations for improving efficiency of existing operations. The candidate should have general working knowledge of the rules of civil procedure and e-filing in state and federal courts in Texas. Should be able to perform work with a high level of accuracy in a high-volume and deadline driven environment. Experience in and understanding of online database case activity and calendar management systems. Should preferably have experience of 2+ years and demonstrated ability to be a productive self-starter who can anticipate needs, identify problems, find solutions, meet deadlines, and does not need heavy supervision. Should have accurate typing of 80+ wpm and excellent computer skills, including scanning and electronic filing of documents. Excellent organization, time management, and communication skills. Ability to adapt to our firm environment and how our clients want their matters handled and reported is required. Excellent spelling and proofreading skills and experience working with a document management system, i.e. eDocs DM, preferred but not necessary. Familiarity with nextchapter.com bankruptcy forms, legal billing software preferred. Should be familiar with using standard office machines, including photocopiers, scanners, fax machine, telephones, and computers.
