Legal Secretary Litigation Duties: Complete many routine administrative tasks, and assist lawyers with legal work including research, court filings and client communication. Work with the litigation team in the preparation and filing of all court documents and have knowledge of electronic court filings and litigation procedures. Contact clients and opposing counsel for the scheduling of appointments and maintain timekeeper calendars. Communicate directly with clients in a professional manner. Review and proofread all documents produced, check for proper formatting, spelling and grammatical errors, as well as ensuring that all attachments, exhibits or enclosures are intact before distribution. Provide document production services in accordance with the requirements of assigned timekeepers. Maintain client files - electronic scanning. Assist attorneys in the review of billing statements. Act as liaison between attorneys and paralegals with regard to prioritizing workload and deadlines. Organizing travel and accommodations. Coordinate and make travel arrangements. Responsible for ordering office supplies. Communicate information and updates on projects to appropriate timekeeper. Prepare assignments according to required specifications. Perform conflict checks and file openings. Requirements: Ability to deal professionally and communicate clearly and concisely both verbally and in writing both internally and externally. Ability to conduct and follow through with electronic court filings and knowledge of the court systems and their guidelines. Ability to pay close attention to detail, under deadlines constraints and changing work priorities, and complete work assignments logically and accurately. Proven ability to be flexible, be customer service oriented and work both independently and as part of a team. Ability to take direction, accept responsibility for assigned tasks and learn from problematic situations when they occur. Outstanding proofreading skills. Requires the ability to regularly report to work on the days and times scheduled. Willingness and desire to attend training classes to maintain and increase technical skill sets. Preferred: 2 years working as a Legal Secretary. Litigation experience. Experience with ECF court filings. Proficient in Microsoft Office.
