Legal Secretary- Corporate and IP The candidate performs full secretarial and administrative duties for corporate and intellectual property (IP) attorneys. Essential Duties to be performed: Performs secretarial functions associated with firm administrative tasks, including processing new client/matter requests, conflict checks, client bills, managing calendars, and directing workflow; Works with corporate paralegals on corporate maintenance and corporate formation tasks; Tracks completion status of documents, manages execution process, compiles and formats documents that require signature; Provides back-up support to IP attorneys and paralegal for trademark and patent docketing, application drafting, and document retrieval (willing to train); Handles word processing of drafts, revisions and final documents for client-related matters, including correspondence, bills, timesheets, and project work. This includes proofreading and redlining work for accuracy and formatting work; Copies, distributes, sends (electronically and/or via mail, courier or express service), files and otherwise handles completed work; Coordinates and registers attorneys for CLE and maintains applicable attorney records; Maintains physical and electronic files; Coordinates meetings and appointments; Handles incoming and outgoing mail. The candidate will have 3 years of legal secretary experience. Will be a team player, have a proactive work ethic, will be proficient in proof-reading and data entry, will be detail oriented, will take initiative to solve problems, and have the ability to work well under pressure. Should have familiarity with a transactional business law practice, some background in IP is preferred. Should possess working knowledge of general office procedures. Ideally, the candidate would have familiarity with legal terminology related to corporate practices. IP knowledge is a plus, but if the candidate does not have IP knowledge, an eagerness to learn is required. Prior experience supporting more than one attorney is required. Must possess advanced word processing/computer skills utilizing a variety of software and web-based programs such as, MS Word, Excel, Outlook and PowerPoint, PDF editing software (eCopy or Adobe), FileShare, and DocuSign. Must possess excellent written and oral communication skills, including mastery of grammar, spelling, and punctuation. Strong client interaction etiquette, attention to detail, and follow-through skills are required. Must be knowledgeable regarding legal filing and record-keeping practices. Must be able to successfully and simultaneously manage administrative details for multiple attorneys. Must possess strong awareness of upcoming deadlines and the ability to communicate deadlines to involved parties. Must be able to stay highly organized. Must possess a strong commitment to customer service and the ability to be flexible when encountering unexpected/last-minute tasks.
