Bilingual Office Manager / Senior Paralegal Assistant Duties: Under general supervision, exercises direct supervision over supervisory (lead staff), technical, and legal support staff and manages day-to-day administrative operations of the Law Firm; coordinates assignment of new cases and staff resources to support legal staff; oversees development and administration of the office budget, technology support and related services; and performs related duties as assigned. Assists Principal Attorney with the planning, supervision and evaluation of work assigned to staff; assists with the management of general day-to-day functioning of the Law Firm office; with staff, develops, implements and monitors work plans to achieve office mission, goals and performance measures; supervises, participates in developing, recommends and implements plans, policies, systems and procedures applicable to office support responsibilities; distributes changes and ensures staff understands and complies with local, state, and federal laws. Monitors and evaluates the work of Leads and administrative staff; assist in developing, implementing and monitoring programs and initiatives to achieve the mission, goals and performance measures of the Law Firm. Responsible for Human Resource related issues. Assists with the maintenance and creation of office personnel files and monitors time cards. With the assistance of the Principal Attorney and/or Risk Manager PA Paralegal will plan and evaluate the performance of assigned staff; establishes performance requirements and personal development targets; regularly monitors performance and provides coaching for performance improvement and development; recommends disciplinary action, up to and including termination, to address performance deficiencies, in accordance with the policies and procedures. With the direction and assistance of the Principal Attorney PA Paralegal oversees the new case assignment system; reassigns cases to balance workloads and ensure appropriate staffing of individual legal matters; opens, updates and closes cases files. Provides complex administrative support of office staff; approves office expenditures and negotiates services and costs with vendors; oversees office supplies; creates and enforces administrative office policies; prepares and manages the Master Binder; creates office templates and forms. Receives client inquires and provides oral and written responses as needed by the Principal Attorney. Generates reports for the Principal Attorney and/or Risk Manager on budget issues and case status. This includes but is not limited to weekly case reports; new cases, demand settlements and dropped cases. Maintains the general appearance of the firm. Manages the day to day operations of the office. Assist with HR Compliance manual revisions, keeping them up to par every year Assist with Legal manual revisions, ensuring they are up to date with step by step process for each line of business. Example: Civil Litigation manual, WC manual, Immigration manual, etc. Other duties as assigned by Principal Attorney Opportunity for growth. Senior Paralegal (additional duties): Responsible for supervising legal and office support staff and participating in providing complex and responsible administrative and office support functions requiring a thorough knowledge of the Law Firm and court procedures and precedents. Performs difficult, diverse and sensitive duties in support of the Principal Attorney and legal staff. Qualifications: Knowledge of law office management, local, state, and federal laws, legal proceedings, and administration practices and procedures, and experience in performing a variety of complex and difficult legal secretarial services. Including personal injury and civil litigation. Fluent in Spanish/English is a must.
