Paralegal (Investment Funds) The candidate will assist in preparing initial drafts of transfer documents. Will assist in handling the initial review of transferee investor diligence materials including transfer subscription booklets. Primary responsibility for maintaining transfer and transfer investor data in existing Excel spreadsheets and organized final transfer documents in firms document management system. Act as a Client contact for questions relating to investors and/or specific transfers. Act as an investor contact to (i) assist with questions from the investor transferor or transferee or (ii) follow up with the transferee for missing transferee diligence information or materials. Assist with the organization of client materials and attorney work product including in computer based technology, especially in Microsoft Excel. Microsoft Outlook, Microsoft Word and Microsoft PowerPoint are also used regularly. Prepare closing sets of investor transfer and other documents including preparation of distributions to clients and advisers of clients (accountants, other law firms). Maintain files and other case or project records; circulate materials to project team, as needed; and maintain chronological records of project activity. Arrange meetings and calls to include ad hoc meetings, monthly and other periodic conference calls, relating to transfers generally or specific transfer request issues. Establish strong rapport and working relationships with other administrative staff, as well as strong relationships with key attorneys within the practice. As requested by assigned attorneys, coordinate the work of other client team paralegals and/or project assistants or clerical team members. Assist in the training of new paralegals for the client team. The candidate should have BA/BS degree. Previous supervisory experience preferred. 3+ years of experience in a paralegal position required. Legal Assistant/Paralegal certification desirable. Ability to read, write and speak English are essential. Excellent oral and written communication skills, including the ability to communicate potentially detailed and complex information to others are essential. Excellent interpersonal skills and sensitivity to the complexities of a partnership are essential. Familiarity with Adobe professional and Adobe Acrobat. Ability to quickly and proactively identify and analyze problems, develop solutions and deliver results are required. Ability to use initiative and judgment to accomplish results are required. Ability to read, comprehend and follow instructions are needed. Ability to use critique of work to improve performance. Demonstrated poise and professionalism when interacting with peers, attorneys, office, firm and practice management, and outside business contacts are required. Ability to prioritize, manage heavy workload and adjust to changing priorities, work independently and as a member of a team, manage multiple projects with specific deadlines, and complete tasks under time pressure as necessary are needed.
