The San Francisco office of this mid-size firm is engaged primarily in litigation and general business, although the firm boasts a solid regulatory and administrative law practice and a respectable labor/employment practice. The firm has a strong pro bono commitment; associates receive full billable hour credit for approved pro bono work and, overall, pro bono comprises 3-5% of all work. The billable hour target is 1850 and salaries are approximately 20% below market.
Practice Assistant (Legal Secretary) Responsibilities: Create and edit documents in Word, Excel, and other applications from handwritten copy, typed copy and dictation. Administer multiple calendars, coordinate meetings and events, prepare expense reimbursements and oversee travel arrangements. Prepare correspondence as directed by attorneys. Ensure proper setup and handling of client files. Manage client intake process, timekeeping and billing. Strong commitment to individual assignments as well as to the secretarial team. Requirements: Associate or Bachelor's degree preferred. 3+ years of experience in a high-volume, fast-paced professional setting. Prior travel and professional event coordination is considered a plus. Superior technical skills in MS Office including Outlook, Word, Excel, and PowerPoint. Excellent communication, interpersonal, organizational, and administrative skills, with meticulous attention to detail. Ability to take initiative, work independently, and assume responsibility to prioritize multiple tasks, deal with urgent client needs, and work under tight deadlines. Strong vocabulary, grammar, spelling and punctuation skills. Must be a team player focused on internal and external client service.
