Legal Secretary / Office Manager Duties: Draft, transcribe, proofread, edit and file court documents and related correspondence, memorandum, pleadings and related documents. E-file and paper file documents with local, state, federal and appellate courts. Handle the incoming and outgoing mail for the attorneys supported. Maintain team and court calendars and keep attorneys aware of scheduled events and approaching deadlines. Schedule meetings, conference calls, assist with travel arrangements when necessary. Communicate by phone and email with clients, maintaining professionalism and a high level of customer service and professionalism at all times. Schedule depositions, mediations and office conferences. Handle billing for assigned timekeepers using TimeSolv software. Responsible for small bookkeeping, including payment of invoices and writing checks, using QuickBooks. Maintain files on a regular basis. Maintain overall aesthetics of the entire office. Assist fellow workers and/or other timekeepers as needed and requested. Qualifications: High School diploma required, Bachelor s degree preferred. 2+ years of legal litigation secretarial experience is required. Familiarity with law, legal procedures, protocols, and court system. Satisfactory knowledge of day-to-day operations of a legal office. Excellent secretarial and organizational skills. Familiarity with online billing and time-keeping procedures. Must be experienced using QuickBooks. Must be punctual, professional, energetic and a problem solver.
